Job Summary

Responsible for the overall management and leadership of the Plan Document Coordinators. The Associate Director is responsible for providing expertise in the area of benefit interpretation and acting as a subject matter expert providing recommendations of benefit design to mitigate risk. The Associate Director of Plan Documents/Compliance will partner with the Associate Director of Plan Building to assure that the plan documents and plan building are meeting the client’s needs and expectations while also delivering the highest possible level of automated claim adjudication. Responsibilities include but are not limited to managing employee workflow, production and the quality of the plan documents, staff development and the successful implementation of new clients and retention of existing clients.

Job Responsibilities

  • Responsible for planning, directing and coordinating staff assignments and monitoring work performance.
  • Oversees work – sets goals and objectives, approves tactical steps and ensures timelines are met. Meets regularly with the team to assess progress.
  • Facilitate weekly meetings with the plan document coordinators.
  • Provide expertise throughout the enterprise.
  • Works with Compliance and acts as a liaison
  • Focus on the greater good of the enterprise, not just focusing on a given region. Maintain open channels of communication to allow for free flow of information.
  • Communicate status and escalate issues, as needed.
  • Handle personnel matters including mentoring, coaching, motivating, performance management and feedback, recognition, performance evaluation and time tracking of direct reports.
  • Effectively communicate department goals and objectives.
  • Responsible for making sure that expectations of all staff members are appropriately set and clear.
  • Use performance management to enable improved performance, or when necessary, take corrective action with underperforming staff members.
  • Assess ongoing training and development needs and provide opportunities for improvement, as needed.
  • Support team day-to-day operational needs in situations when workload is surpassing what the team can accommodate.
  • Create and ensure documentation is accurate and current for the plan document team. Documentation to be stored in a shared repository. Such information to be available and used to develop existing staff and the onboarding of new staff.
  • Participate in cross-functional teams and special projects as assigned.
  • Other duties as needed/assigned.

Required Job Qualifications

  • High School Diploma or GED equivalent
  • Minimum of 3 years’ experience in the healthcare/benefits industry.
  • Minimum of 1 year previous management experience.
  • Advanced knowledge of regulatory requirements applicable to the enterprise.
  • Knowledge and application of English grammar including composition, editing and proofreading skills.
  • Ability to multi-task, prioritize, handle pressure, and make informed decisions.
  • Ability to analyze situations objectively, develop creative solutions, and take initiative.
  • Ability to work effectively with differing levels of co-workers including all levels of staff and senior leadership.
  • Experience working in a dynamic, fast paced work environment.
  • Ability to investigate and problem solve.
  • Ability to provide exemplary service to internal and external customer.
  • Proficient in MS Suite, including Word, Excel, and Outlook.
  • Strong communication skills and the ability to facilitate meetings.
  • Independent issue resolution skills
  • Advanced critical thinking skills
  • Experience collaborating cross-functionally (legal/compliance, operations, client management)
  • Experience and skills in independently drafting, editing, and maintaining standard and customized plan language
  • Ability to travel to regional field offices.

Preferred Job Qualifications

  • College degree or advanced education in the insurance industry (CEBS, HIAA, or LOMA)
  • Knowledge of Luminare Health systems
  • Experience reading contracts, statutes, and regulations
  • Strong command of plan design terminology and document structures (e.g., definitions, eligibility, plan administration, benefits, claims and appeals)
  • Experience drafting department policies and procedures
